A school in Surrey, has implemented our Private Hire system to revolutionise their transport needs. Previously, it was an inefficient and labour-intensive process for organising school trips. Staff would often have to manually contact multiple operators, chase up quotes, and compare offers individually.
To streamline this process, the school introduced our industry-leading Private Hire Booking System. This constantly evolving system allowed the school to quickly and easily request quotes from multiple operators, all through a single platform. By using the system, staff can request quotes from all of our pre-vetted and checked operators, saving valuable time and energy.
A Surrey-based school significantly reduced transport costs by comparing quotes from nine different operators throughout the academic year. By evaluating multiple quotes side by side, staff consistently selected the most cost-effective option for each trip. This strategic approach resulted in savings of over £55,000, achieved by avoiding reliance on a single operator. Moreover, staff could seamlessly choose between external coaches and internal vehicles, all with just a few clicks, streamlining the process and maximising flexibility.
The system also enabled staff to enter PO numbers directly into the platform, speeding up the auditing process and reducing the administrative burden even further, whilst increasing spending accountability. The schools can now monitor how much each department spends, ensuring they stay within their allocated budgets.
In addition to this, our Internal Vehicle Hire System allows staff to quickly and conveniently manage and book out school vehicles to use for trips. When school staff opt for an Internal Vehicle on the booking form, the transport manager is notified and they can choose to manually or auto-allocate a bus. Staff can also directly assign a driver within the platform for quick confirmation. The system prevents double-booking by displaying real-time vehicle availability through the Live Calendar, ensuring no conflicts when multiple departments are scheduling trips.
The platform enhances fleet management by allowing schools to track vehicle usage. It also enables schools to schedule maintenance or repairs, ensuring the fleet remains in optimal condition. Maintenance schedules are visible on the calendar, allowing staff to plan trips around these dates.
